Trade show lead capture: a practical guide for exhibitors
You pay for the booth, the travel and the team's time. What you get back is the list of people you met. Here is how to capture those leads quickly, keep the context, and follow up while they still remember you.
1. Before the show: decide what a good lead looks like
Most booth leads are lost before the show starts, because nobody agreed what to collect. Write down the few things your sales team needs to follow up well: name, company, role, email or phone, and what the visitor is interested in.
Agree on a simple rating everyone uses the same way. Hot, warm and cold works well: hot means ready to talk now, warm means interested later, cold means just browsing.
- Set a lead goal for the event so the team knows what good looks like.
- Prepare a short list of tags for interests or products, so notes stay consistent.
- Make sure every person working the booth can capture leads on their own phone.
2. At the booth: capture every lead in seconds
Conversations at a busy booth are short. The capture method has to be faster than the conversation, or people skip it. Use whatever the visitor hands you:
- Business cards: photograph the card and let the details be filled in automatically, instead of typing or stapling cards to a notepad.
- Badge and digital card QR codes: scan the code to save the contact in one tap.
- No card at all: enter just a name and company, and complete it later.
3. Qualify while you still remember the conversation
A contact without context is hard to follow up. Right after each conversation, take ten seconds to add what you learned: rate the lead hot, warm or cold, add tags, and record a quick voice note about what they need and what you promised.
Voice notes are faster than typing on a crowded show floor, and a short written summary makes them easy to scan later.
4. Keep the whole team on one list
When each person collects leads in their own way, the same visitor gets two emails and another gets none. Capture into one shared list for the event, check for duplicates as you go, and track progress against your goal during the day.
5. After the show: follow up fast, hottest first
Leads cool quickly once the show ends. Start with hot leads within a day or two, using the notes from the conversation so the message feels personal. Then work through warm leads.
Move the leads into the CRM your sales team already uses. A clean export with the right columns saves hours of copy-and-paste and keeps the event's results measurable.
